Job Overview:
The Manager – Employee Services will oversee the day-to-day operations of the Employee Services department, ensuring smooth and efficient administrative functions that support the company’s employees. This role will focus on office management, facilities management, employee services and ensuring a conducive work environment for employees within the City Gas Distribution (CGD) sector.
Key Responsibilities:
Office & Facilities Management:
- Oversee the management of office facilities, ensuring that workspaces are well-maintained, organized, and conducive to a productive environment.
- Coordinate and manage office-related services, including office supplies, equipment maintenance, vendor management, and coordination of services such as cleaning, security, and catering.
- Ensure compliance with safety regulations and standards within office spaces.
Employee Services & Welfare:
- Manage all aspects of employee services, including transportation, accommodation, and logistics support for employees, particularly for field employees.
- Ensure the efficient delivery of services that support employee well-being, including organizing recreational activities, wellness programs, and events.
- Serve as a point of contact for employees’ administrative concerns, ensuring quick resolution of issues related to day-to-day services.
Internal Communications & Coordination:
- Act as a liaison between employees and senior management for any administrative or employee service-related inquiries.
- Coordinate with other departments, such as HR, Operations, and Finance, to ensure seamless integration of administrative services.
Travel & Accommodation Management:
- Oversee and manage the company’s travel and accommodation arrangements for employees, ensuring cost-effectiveness and employee satisfaction.
- Ensure that travel policies are adhered to, including booking travel arrangements, managing travel budgets, and coordinating employee needs during business trips.
Document Management & Record Keeping:
- Oversee the management of company records and documentation, ensuring proper filing, storage, and confidentiality.
- Implement and maintain filing systems for contracts, employee records, and other administrative documents in compliance with company policies.
Vendor & Supplier Management:
- Coordinate with external vendors and suppliers to ensure that services provided are of high quality and cost-effective.
- Oversee contracts and agreements with suppliers for office-related services (e.g., cleaning, security, catering, etc.), ensuring they meet company standards and legal requirements.
Event Planning & Support:
- Plan and organize company events, employee meetings, and conferences, ensuring logistical support and smooth execution.
- Manage employee engagement activities and team-building events initiatives as part of the employee services program.
Budget Management:
- Manage the budget for the Employee Services department, ensuring that resources are allocated effectively and that spending is within budget.
- Track expenses related to office supplies, employee welfare programs, and travel arrangements, ensuring cost-effective solutions.
